We're constantly working to improve and evolve the CELUM Cloud services. To keep you in the loop, here's a short overview of what's new in each update of CELUM Cloud Account, CELUM Drive, CELUM Work, CELUM Libraries and CELUM Portals.
What's New for CELUM Content and CELUM YouTube Exporter
The "CELUM Content" section of the online help has its own "What's New" article specifically for the Nova UI. You'll find it here.
The "CELUM YouTube Exporter" section of the online help also has its own "What's New" article. You'll find it here.
Notification centre is now available in CELUM Experience and CELUM Libraries. Now you can access the notification centre from anywhere in the Cloud and easily stay up to date on your @mentions on tasks and assets.
Updated navigation menu for a more intuitive experience. The updated menu now features clearer labels and improved organisation. Explore the new layout under "My organisation" with pages for Details, Members, and Groups.
Better asset management: An "Assets" tab now lets you directly access the asset explorer from the Designer. There you can manage your Portal assets. All categories in the asset explorer can now be expanded or collapsed for better visibility, you can also use the embedded search bar to find what you are looking for.
Notification centre for CELUM Work is here. See all your @mentions in one place and easily navigate to tasks or assets where you have been mentioned. Easily switch to unread notifications with a toggle button or mark all notifications as read. This is only the beginning! Soon, we will add new options to the notification centre. Stay tuned!
You can now import .IDML files in addition to .PSD in Content Templates. Read about current import limitations in our Online Help.
Easily find the right Libraries with the new search, filtering, and sorting options on the dashboard. Click the "Filter" button to open a pop-up menu where you can search by name or refine results by state, ownership, and update issues.
Copy and paste sections: Portals are made up of sections, and now you can easily move, copy, and paste these sections with all their widgets (like image-, video-, or text-widgets). You can paste the sections into different pages or even different Portals. However, if you paste a section into another Portal, the images and other assets won't be copied over.
Copy an existing Portal: Easily copy an entire Portal, including its settings, widgets, and assets, through the context menu or magic menu. During the process, you can update the Portal’s name, accessibility type, and design theme if not previously defined. Once the copy is created, the new Portal will be unpublished, allowing you to make changes like updating related Libraries, adding an URL slug, inviting curators, and more.
Refine your search for groups and organisation members with powerful new filter options—making it easier than ever to find exactly the groups and people you need. Whether you’re narrowing results by role, status, or group name, filtering will bring you results in a matter of seconds.
Create a review task for a Portal: While creating a Portal is simple, it is essential to secure approvals from key stakeholders, such as Product Management or Legal, before going live. The new review feature allows reviewers to experience the Portal exactly as it would appear in “Browse mode”, including mobile and tablet views. They can then easily switch to “Capture mode” with or without a CELUM extension, and request changes using built-in annotation tools. Each time a reviewer enters “Capture mode”, a new version of the Portal screenshot is created, allowing full tracking of all feedback, easy version comparisons, and a streamlined approval process.
Asset Pre-filtering: This new function of the Portal designer lets you choose which Libraries will be the source of assets for your gallery widgets. After you prepare separate Libraries for your assets you can assign specific Libraries to your galleries. This function is useful when:
You want multiple galleries on your Portal and you want to present different group of assets in each.
You want to separate the assets you use in designing your Portal, like logos and banners, from the assets you want to present in a gallery widget.
Easily manage people in your organisation with our new edit dialog for invited people and requests. Simply click on a person to open the "Edit" dialog, where you can view and update key details. As a manager, you'll have a complete overview of all settings in one place, taking your management to another level.
CELUM's template-based solution for creating content at scale. It enables users across teams to easily customise pre-approved templates to suit their needs—without requiring design expertise or compromising corporate standards.
When creating Templates in CELUM, you have access to a user-friendly yet powerful designer. It allows you to easily define the text, shapes, and assets you want to include, specify their placement, and customise formatting to meet your needs.
Each element of your Template is a customisable block that you can label and control. Use placeholders to define specific rules— for example, you can prevent users from changing the logo but allow them to edit the headline text.
End users see all available Content Templates in the Portal. They can edit them, and can export the end result, choosing from a number of different file formats, and specify the size and quality they want to download and use.
All Experience Curators will automatically receive a FREE TRIAL until 31st of March 2025.
Multi-page Portals: You can now create up to eight pages per Portal, which will appear in the intuitive menu navigation at the top left of the Portal. To maintain a smooth user experience, we recommend keeping your menu items to fewer than six or seven.
Flexible Configuration Options: For each new page, you can customise the page name, browser tab title, background, and even set a custom URL slug. If your next page needs similar settings, simply copy the existing one to save time. From there, you can start shaping the page with the Portal Designer as usual.
Set a Fallback Page: Ensure a seamless experience by configuring a fallback page for scenarios where a page is unavailable or the user does not have access.
Additional Release Enhancements: We’ve added a handy new feature to Portals. The option to choose between boxed and full-width layouts for each section of your page. This “content width” setting gives you more control over how your content displays, especially on mobile devices.
Boxed (fixed) width: Select this to make content stay inside a defined width, enhancing readability by keeping text and elements within a comfortable viewing range. This is especially beneficial on smaller mobile screens but also good for larger screens since your content will not be stretched out too much.
Full width: Choose this to fully utilise available screen space, making elements like images, buttons, and text larger and more prominent. This is ideal for touch-based interactions, as larger elements are easier to tap on mobile devices. This is ideal for touch-based interactions, as larger elements are easier to tap on mobile devices.
Introducing CELUM Work's "Participating" and "Curating" privileges. Replacing the previous permission system, the new CELUM Work privileges govern access to and permitted actions in CELUM Work. By default, all active members are granted the Participating-privilege. You have the option to give your organisation members even more control in Work by upgrading them to the Curating-privilege in the "Edit member" dialog.
Custom URLs for Portals: You are now able to connect up to 5 domains to your Experience account. To support your branding efforts you can use these domains in the URLs of your Portals, and also create custom slugs to make the URLs more informative and appealing to your audience.
New Portal Languages: You are now able to set Italian and Spanish as languages for your Portal.
Disclaimer reconfirmation: Request a reconfirmation for an updated disclaimer. This will require a confirmation even from those visitors who have confirmed the conditions of the initial disclaimer.
Together with CELUM admins, set up the connection between your IdP provider and CELUM. Once connected, you can conveniently import groups from the federation to CELUM Cloud. Those groups will be shown on the "Organisation groups" page with an "Imported" checkmark. The imported groups are read-only and can only be edited in the federation.
Click on "Create group" button on the "Organisation groups" page to create a group directly in the CELUM Cloud. Manually-created groups can be edited by managers (you can change a group's name as well as add and remove members).
Open the new "Edit member" dialog (click on a member on the "Organisation members" page) to see key details about a member and make changes as needed. As a manager, you will find it easier to have an overview of all the settings for a member directly in the dialog.
"Organisation members" page redesign. We have made the following changes:
Invitation actions (accepting, deleting, and resending an invitation) are now found in the context menu on an invited person.
Member management has been moved to the "Edit member" dialog.
While retaining the simplicity that defines our Portals, we have introduced several new features. These enhancements will enable you to transform your Portals into branded spaces suitable for a variety of use cases, all within a secure environment.
Consistent brand identity: Apply your brand's design standards such as colours, typography, logo and brand assets to create a theme that any content curator can apply to a new portal with just a few clicks, without compromising your brand identity. CELUM helps you to always stay on-brand.
Widgets and more widgets: Use different building blocks to customise your Portal to best suit your target audience. Include rich text, images, video or full galleries to showcase assets exactly as you want them.
Layout structuring with sections and columns: Our upgraded Page Builder makes it easy to enhance the layout of your Portal by adding sections and columns. CELUM Portals are the heartbeat of your brand, allowing you to connect with your audience effortlessly. Create as many portals as you need to meet the needs of different audiences.
Advanced task search
Advanced task search is an ideal tool for finding tasks and subtasks and tracking their progress. In the "Advanced task search" dialog, you can:
Gain a project-wide overview by searching across all Workrooms..
Refine your search with filters, whether you have a specific person, a Workroom, due date, priority, or a keyword in mind. These filters streamline your search, ensuring a quick and effortless experience.
Organise search results for a clear overview. You can sort by name, priority, or due date.
Seamlessly access tasks/subtasks from the results list by simply clicking on their card. The selected object opens in another window, so you can inspect it without exiting the advanced search.
Add a form while creating tasks on assets from CELUM Content. Planning your process and preparing tasks for your team is a must-have for good project management, but it can be an overwhelming task. To help you be as efficient as possible, we have enhanced the automatic task creation process from CELUM Content with the option to add a briefing form and, optionally, fill it in (step 3 in the Online help). Before the tasks are even created, you will have already added the assets from CELUM Content and all the crucial information your team needs.
Copy a task together with task details, description, and additional information (form). A new way of task creation is on the horizon. Say goodbye to manually recreating tasks and re-entering task details. Now, you can simply use the "Copy" feature on a task and save your precious time for deep work. Additionally, you have full control over which task details to copy (by default, all task details are included). Also, you can decide between copying the structure of the form (blank form) or the form with the values (Filled out form).
Edit fields. If there is anything you want to change in the configuration of an already existing field, simply click the field to enter the "Edit field" dialog. There you can update the field's name, drop-down options (only for drop-down type), and field type (only if the field is not used in a form already).
Select fields and create a form in the "Fields" tab. Conveniently located in the upper corner of the "Fields" tab, the new “Create form” button allows you to select the fields and create the form on the same page.
Download entire Portal content with one single click: This convenient feature simplifies the download process and saves you valuable time. Just make sure you haven't used the search field or any facets to filter your content before clicking the bulk download button.
Download specific search results using the bulk download button: Our advanced search capabilities and filtering options make it easy to find exactly what you're looking for. Once you've refined your search using search terms and facets, simply use the bulk download button to efficiently retrieve your desired assets. It's as easy as that!
Sort your asset gallery with more options: Easily organise your Portal's assets by 'Name', 'File Size' or 'File Extension' to quickly find the content you need. You can also customise the sorting order to suit your preferences, whether it's ascending or descending.
For more information on these functions, see "Configure Portal details".
Create briefing forms (in Work administration) and add it to "Additional information" (in task details). Adding additional information to a task is crucial to getting it done successfully and quickly. That is why now you have an option to add a briefing form to a task. The briefing form is created beforehand in Work administration. The form is entirely customisable (you create and add your own fields) and reusable.
Create a new form from an existing one. Want to create a briefing form with a similar structure or configuration to one you've already created? Simply, use the option "Copy to new form".
Add disclaimer confirmation: Ask users to agree to certain terms before entering your Portal. This feature is easy to activate and enables you to include disclaimer text in multiple languages within the same interface. Ideal for copyright, confidentiality, terms and conditions or other disclaimers.
Share your choice of facets or search terms via URL: Easily share customised views of Portals for specific audiences: The system saves all chosen parameters such as language, search terms and selected facets in the URL. Share the URL to give others the exact view you've created.
Revert to last published state: If you've been actively editing your Portal and wish to prevent all the recent changes made to a Portal’s configurations from being applied, you can easily revert to the last published state with a simple button click.
Undo/redo single changes: Just like popular applications such as Word or GDrive, you now have the convenience of using familiar commands to effortlessly undo or redo changes made to Portal configurations by using the dedicated key combinations for Windows (ctrl+z or ctrl+y) and for Mac (command+z and command+shift+z).
Sharing within our Work domain just got a lot more efficient
After selecting the assets you desire, right-click to see the share option. Here you can choose between two ways of sharing:
Share by e-mail: Customise your sharing e-mail by adding a personalised message and you can now specify a disclaimer your recipients have to confirm separately. You can also specify how long the assets will be available.
Share by link: Quickly share across multiple channels with a one-click process to copy a link to your share page.
Select multiple assets and multi-download: Portals now support multiple asset selection and multi-download of variants. You can try it out in the Portal Designer.
See what your users are up to.
Portal Insights is the perfect tool to enhance content on your Portals and understand how it is used by your audience:
Page insights: How many people go to your portal, how many come back, how long do they stay, and what devices do they use to access it?
User insights: Who is visiting your Portal, who are the most engaged users, how often are they finding what they are searching for, where do they come from, and which languages do they prefer?
Asset insights: Which assets are being downloaded the most, which assets are not engaging the audience, and is there content that the users are looking for but cannot find?
You can find detailed information and instructions for using Insights in the Portal Insights topic.
Add subtask assignees and increase transparency to the maximum.
A transparent workflow and productivity go hand in hand. That is why for our early September release, we focused on enhancing subtasks — your secret weapon for mastering task management — with the assign option.
Put one or several people in charge of finishing a subtask via the "Add assignees" button. If the subtask assignee is a visitor, they also have to be a task assignee or a task list owner to see the subtask.
All open subtasks assigned to you will also be shown on the dashboard under "My open tasks". Once the subtask is done, you won't see it on the dashboard anymore.
New dashboard look. Libraries dashboard has gotten a makeover:
The active and inactive Libraries are listed together.
Active Libraries are shown first followed by inactive Libraries.
Newly created or edited Libraries are shown at the top of the list.
Link tasks within a Workroom. Task linking is designed to help you keep an overview of all tasks related to each other. By having visual representation of linked tasks in the task details (with "Depends on" and "Necessary for" dependency types), your project planning and progress tracking will become easier. Task linking highlights include:
Search for a task to link by its name.
Link up to 50 tasks with the same dependency type. The dependency relationship will be shown on both tasks.
Click on a linked task to open its detail view.
Linked tasks are shown in either "Depends on" or "Necessary for" group for easier overview.
Important info for a linked task is shown on the linked task row.
Convert subtask to a task. A subtask turned out to be more complex than expected? Use the new "Convert to task" option to create a new task based on the selected subtask.
New "CELUM Experience" permission in the Cloud Account
Cloud Account users who are granted this permission by the organisation manager or owner will be able to:
Access the CELUM Libraries and CELUM Experience domains.
Create and edit their own Libraries and Portals in the respective domains.
Edit Portals to which they were invited in CELUM Experience.
If the permission is revoked for a user, any Library created will remain active, but will no longer be updating.
Library preview page
Interested in knowing if a Library contains the assets you need or want to check the import status of assets? As a Library owner, simply click on a Library to open its preview. In the Library preview, you can:
See an overview of currently imported assets in the selected Library.
Access the magic button where you can edit or deactivate a Library.
Curators: Need support in handling a Portal? You can now invite curators from your organisation to help you in editing and designing Portals. See "Managing curators" in Edit Portals.
Multiple Libraries: A simple solution to manage multiple asset groups in your Portal with ease. It is now possible to connect multiple Libraries to a Portal.
Save indicators: Keep track of the state of your changes. New indicators in the Portal designer brief you when your changes are being saved and when the saving is successful.
Now you can add subtasks in task details and divide your complex tasks into smaller, manageable units. This gives structure to your work that is easy to track– even at a glance.
Subtask highlights:
Visually track the completion state of subtasks:
Progress bar shows completion and turns green when all subtasks are completed.
The subtask completion is additionally shown in percentages next to the progress bar.
When a subtask is marked as complete, its name is crossed out.
The subtask section is collapsible so you get to decide if you want to hide or show all subtasks.
All subtask activities are listed in the "Activities" tab, so you don't lose track of your changes.
It is possible to edit subtask name, reopen, and delete subtasks.
Drag and drop subtasks to switch their position.
We celebrate the arrival of our new cloud services
The new CELUM cloud services CELUM Libraries and CELUM Experience are now live and reachable via 2 new system bar buttons in all CELUM services.
You can find all about the new services in the dedicated sub-sections of the online help:
Terminology changes. From this release, the Work application gets a terminology update:
"files" are now called "assets"
"File explorer" is now called "Asset explorer"
"Manage workroom" button is now called "Edit workroom"
Select multiple attached assets in the task detail view. This means that you now can perform actions such as download, share, remove from task, and add to CELUM Content on multiple task attachments.
Strikethrough as a new text formatting option. Need to cross something off your list and mark it as complete or maybe as irrelevant? Now you can use strikethrough and format your comments, task descriptions and Workroom/template descriptions and express your thoughts in a way everyone understands.
Accelerate your collaboration and feedback collection with stamps.
The asset selection process can be quick and easy. Use stamps in asset detail view (click the "Add stamps" icon) to give visual feedback and, together with your team, select the best assets.
Stamp highlights:
Once you select a stamp (Like or Dislike), you will remain in stamp mode and can use it continuously on that asset. In this way, you don't have to re-select a stamp to use it multiple times.
Move a stamp. You can easily drag an existing stamp to another place within the asset detail view. As a moderator, you can move other people's stamps as well.
Resize a stamp. The default size not suitable for you? Resize the stamp to perfectly fit your needs. As a moderator, you can resize other people's stamps as well.
Delete a stamp by selecting it and clicking on the trash bin icon. As a moderator, you can delete stamps by other people in the workroom.
Work on the asset while in stamp mode. You can still perform actions on the asset such as adding comments and comparing asset versions.
New search options in filter menus. Find specific people (task creators, task assignees, or asset creators) when filtering via the filter menu on the taskboard or in the asset explorer. On the dashboard, use the "Workroom" search in the filter menu to find a specific Workroom.
Find assets easier when attaching them to a task. Use the new filter and sorting options in the “Attach assets” dialog when attaching assets to tasks from the current Workroom.
Update role of people with any membership status. Now you can update the role of people with "Invited" and "Pending approval" status to contributor or visitor role.
The beginning of a new year is in itself an occasion for celebration. This year, we decided to make it even more special with our release that is all about user roles in CELUM Work.
Update people role. As a moderator, you can update people's role in your Workroom. On the people page, open the context menu (right-click) on one of more people's avatars and select the "Update role" option. You can also update the role directly in the invitation dialog when inviting new people. You can choose between moderator, contributor, or visitor role.
New visitor role for CELUM Work. Visitors have restricted access to your Workroom. People with this role can see only specific tasks assigned to them and all tasks in task lists where they are task list owners. Other tasks are hidden from visitors. Furthermore, visitors can only see the dashboard and the taskboard, while they don't have access to the people page or the asset explorer.
Visitor role is perfect for:
keeping the names, roles, and tasks of other Workroom collaborators private
making sure that specific people only see work that is relevant for them
making sure that only specific people can edit task list- and task-related information
The invitation process is the same for all roles: In the invitation dialog, simply select the "visitor" role. If needed, you can update their role later via the "Update role" option.
Sort task attachments in task detail view. Now you can quickly organise assets attached to a task by date (modification or attachment), asset category, or name. The "Attachment date" is the default sorting option.
Formatting of Workroom description text. Transform a messy Workroom description into readable and easy to follow text by using the text formatting options. To see all formatting options, simply click on the Workroom details section.
Share assets and folders with people outside your organisation
We at CELUM understand the need to share your assets in a secure and convenient way. This is why we introduced the option to share your assets and folders with people outside your organisation. As a bonus, we made it just as easy as sharing with your teammates.
You will directly benefit from the new sharing functionality in the following ways:
No need to download assets and send them via e-mail. This saves you time and unnecessary complications.
You can share whole folders or individual assets.
You can select to share assets ( via the "Share asset(s)" option) from anywhere: the asset explorer, magic menu, asset detail view, or task detail view.
The freedom to customise the share in the "Share" dialog:
Send the selected content to multiple recipients at once.
Send a customised message with the option to confirm reading.
Decide how long the recipients have access to the shared content by setting the validity date.
Both you and your recipients receive an e-mail with the link to the landing page.
Modern and well-designed landing page awaits your collaborators with an overview of the most important info.
Remove assignees in the Assignment robot. Decisions-making can be difficult. That's why we made it our mission to support you. Now you can quickly decide to keep or remove the existing assignees when moving a task. You can do that directly when creating the Assignment robot.
Delete unnecessary assets via robot settings. We have added new functionality to the CELUM Content robot (when moving assets or finishing a Workroom). You can now decide to keep the task content in CELUM Work or move it to the trash bin. These options enable you to keep the necessary assets only, while the robot automatically gets rid of the rest.
Other improvements
Attach images to comment. Click the "Attach image" icon to add images to comments from your computer. The supported image types are .jpeg, .jpg, .png, .svg, .webp, and .bmp.
Clicking on task content now opens asset details. When you close the asset details tab, you'll again see the task details.
Access the annotation marker more conveniently. The annotation marker can now be found in the preview menu (above the preview area).
Invite new people on the fly. Can't find the right match for a task or a task list amongst people already in your Workroom? No problem! You can invite new people and assign a task or a task list right in the task details or on the task list. As a moderator, enter a new user e-mail in the search bar in the "Add" dialog and click on the "Invite and assign" button to start the process.
Invitation dialog improvements:
Assign a role directly in the invitation dialog. You don't have to close the invitation dialog to assign roles to invited people in your Workroom. Now, you can do it directly in the "Invite people" or "Invite people and assign" dialog. Simply go through the invitation process, click on the menu next to their e-mail address and select the desired role.
Leave a message for the recipient. Now you can share any additional information with your invitees via the "Message" field in the invitation dialog.
Other improvements:
Select a folder when attaching to a task. Attach or drag and drop an asset from anywhere to a task. A "Select folder" dialog opens where you can select the upload folder. By default, the root folder of the Workroom will be selected.
"Automatic creation" robot on selected folder
If the selected folder has an "Automatic creation" robot created on it, another task that is based on the same asset will be created.
Paste a screenshot to a comment. We listened and delivered! Now, you can copy and paste one or more images to a comment. You can also combine it with a mention or text. After publishing, click the image to open it in view mode for better visibility.
We continue with the CELUM Content and CELUM Work integration improvements with the goal of creating a perfectly seamless CELUM experience. In this release, we focused on folder and task creation:
Create folders while adding. Choose an existing or create a new folder on-the-fly when adding collections or assets from CELUM Content.
Choose the number of tasks. Create one or multiple tasks when adding assets from CELUM Content.
Consolidated menu. To make creating tasks on assets easier, we've removed the sub-menu for the "Create task" action. Instead, you can now choose directly in the "Create tasks" dialog between creating a single task for all assets or separate tasks for each asset, along with the task list where the task(s) should be created. This feature is also available when adding and creating tasks from CELUM Content.
New options for comment export. "Export comments to PDF" feature has been improved. Now you also have the "Show comments closer to marker" option. If selected, marker annotations are shown on a separate page, directly after the page with the marker.
Change to magic menu buttons
In the magic menu, the action "Export comments to PDF" has been replaced by 2 separate actions for exporting comments either on the last page or closer to their respective marker.
Terminology change. For the sake of consistency and simplicity, we unified our product names. From now on, Workrooms is called CELUM Work and ContentHub CELUM Content.
URL change to work.celum.com. Workrooms.celum.com is renamed work.celum.com. All links with the old URL will still work – you will simply be redirected to work.celum.com.
Set repository in templates. Now you can set a repository when creating a new template or save the repository settings when saving an existing Workroom as a template.
Save CELUM Content robot settings in templates. If a template is created based on an existing Workroom via "Save as template" button, it will retain the created CELUM Content robots. Learn more on how to create CELUM Content robots here.
Mind the CELUM Content permissions
In order to re-use a saved template with CELUM Content robots and retain the robots as they are, the Workroom creator needs to have the necessary permissions in CELUM Content. If, for example, the creator doesn't have the permission to see an added collection in CELUM Content, the robot will be retained on a task list, but will not be active.
Save Workroom and automatic creation robot settings in templates. Same as CELUM Content robots, if created, these robots will also be retained when the Workroom is saved as a template. However, since the folders don't get saved in the template, the robots will not be activated. Instead, an info will appear with options to take.
View asset details in card view. Now you can see the most important info on an asset at a glance. By default, the option "Card view with further details" is enabled in the asset explorer. If applicable, you will see the following info:
Asset version with time and date stamp.
Availability in CELUM Content.
Number of tasks the asset is attached to.
Automatic task creation robot. This robot automates and simplifies the process of creating new tasks on a task list. The tasks are created from newly added assets in selected folders. By automating task creation, you can spend less time on creating tasks and focus on completing them! For more details, see the topic on Task management robots.
"Tasks" tab added to asset details. With this improvement, we added a new level of transparency to working with assets. In the "Tasks" tab you can:
See all tasks that the asset is attached to.
Remove the asset from task via the context menu if you have necessary permissions.
Click on a task and open its overview.
Register and login with a social account. Now you can register and log into all CELUM Cloud services with your preferred social account. Simply select one of the offered social accounts and follow the steps. For a detailed description, visit the Get started topic.
Important announcements:
Flowboards are retired. With ContentHub 22.1 (6.12.0), formerly used Flowboards will no longer be supported and will fully be replaced with the new Workflow. Please finish all Flowboards before updating to ContentHub 22.1 (6.12.0).
Terminology change. All export actions are now called "Add to ContentHub", while all import actions are called "Add from ContentHub".
Workrooms and ContentHub integration updates:
We continue to work hard on making the Workrooms
and ContentHub integration even more seamless. With this in mind, we focused
on expanding the adding to/from ContentHub functionalities:
Get latest ContentHub version
It is possible that older ContentHub versions won't support some of the features listed. Please contact CELUM for an update to the latest ContentHub version.
Link or update assets via ContentHub robots. Assets added from ContentHub can now be linked to another collection or updated with a new version from Workrooms. When a chosen action is triggered on a list, all added assets will automatically be linked or updated. For a detailed description, visit the ContentHub robots topic.
Move assets via a ContentHub robot. Now you can easily move assets added from ContentHub to your target collection. When a chosen action is triggered on a list, all added assets will automatically be moved. For a detailed description, visit the ContentHub robots topic.
Add collections from ContentHub. Use the "Add from ContentHub" action or button in the asset explorer to add a collection together with its child collections. The added collection will be represented in the asset explorer by a folder with the same name. As a moderator, you can immediately start watching the collection or do it later in the Workroom wizard via the Workroom robot. The same action can also be triggered directly in ContentHub via the "Add to a Workroom" context menu entry. In the dialog, you can decide to add to a new or existing Workroom.
Add assets from ContentHub. It is possible to add selected assets to a new or an existing Workroom. The selected assets are added as assets to a Workroom and can be worked on independently from ContentHub.
The Workroom robot. The Workroom robot can be created on collections added from ContentHub. You can create it while adding a collection, or later. Once created, it watches the collection and every time a new asset is added to the collection, the Workroom robot automatically adds it to the folder in Workrooms.
Asset and task improvements:
Reply to comments. Now you can directly reply to a specific comment and engage in a conversation without disrupting others. If you are not happy with your comment or reply, you can edit or delete it. As a moderator, you can also edit or delete other people's comments.
Export to PDF with comments. As comments can provide important insight to asset activities, now it is possible to export them together with your images or documents. Simply choose a asset version and click the "Export comments to PDF". All comments related to the asset version will be exported as a PDF together with the asset.
In the task overview, you can set the priority level for a task and use it to filter tasks on the taskboard. Also, the priority level will be displayed on the dashboard in the "My tasks" section together will other important task information.
Other improvements:
Single sing-on for new users. Now single sign-on (SSO) can be enabled in an organisation. This means that new users i.e. users without a Cloud account can log into the Cloud account and Workrooms with their organisation credentials.
"Available in ContentHub" icon. To easily recognise added assets in Workrooms, the icon is displayed on assets that have been added to/from ContentHub.
"Added to ContentHub" section. If the asset has been added to ContentHub, the asset and task details display an "Added to ContentHub" section. This section shows the links to the corresponding ContentHub assets.
Repository changes. We have restricted the possibility to change the repository in existing Workrooms. Once a repository has been set in a Workroom, it cannot be changed.
"Automate with robots" onboarding tour. The new tour leads you to the Workroom wizard and shows you how to create a robot. You will learn how easy it is to automate actions such as adding a task list owner or adding assets to ContentHub.
Domain change to celum.com
From now on, celum.cloud becomes celum.com. All celum.cloud links will still work – you will simply be redirected to celum.com! However, we do recommend updating your links to celum.com in the future.
Filter conflicts in CELUM Drive. When a team of people is working with multiple repositories and scopes, a lot of asset conflicts can be created. To make it easy to find specific conflicted assets, you can now filter your conflicts either within a single scope directly via the "Sync" tab or in selected scopes via the "Conflicts" tab.
Settings for the deletion of local assets. In the CELUM Drive "Settings" menu, you can choose what happens when a asset is deleted locally. You can choose between creating a tracking conflict or moving the asset to the repository trash bin.
Set auto-sync intervals. The expanded auto-sync functionality allows you to set your preferred automatic sync interval. Once set in the CELUM Drive settings, all your scopes will be synced at your convenience.
3D asset preview: Let your assets come to life in CELUM Work! We are now offering a subscription to a 3D asset preview feature. Some highlights include:
Quick 3D rendering directly in CELUM Work.
Supporting all major 3D asset formats.
Works both on desktop and tablet and on all browsers.
Trash bin section for deleted assets. To avoid accidental deletion of important assets, all your deleted assets are moved to the trash bin where you can easily restore them or delete them permanently. You can find the trash bin in the lower left corner of the asset explorer page.
Other user experience improvements:
We introduced a new "Print asset" action that is easily accessible on the asset explorer page as well as in the task and asset detail view. With one click, you are redirected to the print dialog where you can select your print settings.
The "Move asset" action can now additionally be triggered via the task detail view.
We restructured the preview menu in the task and asset detail view to accommodate the newly-added actions on assets and task content. The "More actions" menu houses actions such as printing and moving, while the main actions such as upload and download are featured directly in the preview menu. For an overview of other actions possible in the detail view, check out our topic on managing task content and its sub-topics.
Sort assets on import/export. To get a better overview of available assets, you can adjust your sorting options directly in the import/export dialog when importing assets or asset versions to CELUM Work or exporting them to CELUM Content. To find out more, check out our topic on working with assets.
A robot for CELUM Content export from standalone WorkroomWorkrooms is now available as we are continuing to develop and perfect robots introduced with the March 2021 release. The ContentHub export robot is revolutionary because it allows asset upload to CELUM Content even from standalone WorkroomWorkrooms when actions such as moving or creating a task on a task list are executed.
Want to save a Workroom structure and re-use it later? No problem - simply use the new "Save as template" button in the "Workroom details" of the Workroom wizard. You can save the template of an existing Workroom or do so while creating one.
Task and task list improvements are also included in this release. Now, your unsaved comment on a task is saved as a draft and snackbars on moving tasks inform you when a task is moved on the taskboard.
Now, you can use the whole surface of the group to drag-and-drop Workroom groups. This was enabled by moving the "edit group name" action into the context menu.
No more long waiting times before you see your uploaded assets in the asset explorer. We improved the performance of preview generation for assets, especially if you upload many of them.
We also improved the download experience by introducing the bulk asset download in the asset explorer. All downloaded assets are conveniently stored in a single zip folder.
Manually update to 3.0.0
The CELUM Drive app update from version 2.2.6 to 3.0.0 needs to be done manually. The installation file can be found on portal.celum.com. To successfully update to the version 3.0.0, please follow the instructions outlined.
New CELUM-Location "CELUM Drive". The old folder "clm" still exists as backup.
You don't have to waste time looking for your CELUM-Location. Once the desktop app iis installed, the folder "CELUM Drive" will automatically be pinned to Quick access on Windows® or added to favorites on macOS®.
"Home" tab is now retired. Now, the CELUM Drive desktop app opens on the "Sync" tab. There you can
manually sync changes by clicking the “Sync Now” button and adjust the sync settings to your preferences,
see sync info, and
see all synced scopes and access their local and online locations on hover.
The new “Conflicts” tab picks up on any changes made to assets simultaneously locally and online. To avoid changes being overwritten by mistake, you will get notified about any conflicts and can easily resolve them.
Choose synchronisation settings for Drive.
By default, changes are synced automatically at 10-minute intervals.
You can also sync on-demand, which means you are in control of the syncing behavior.
Use the “Sync now” button to sync manually at any time, regardless of your sync settings.
If you'd like to pause a scope sync, you can do that via the scope's context menu.
Dashboard redesign: Introducing our completely redesigned dashboard that now features two big sections - the "Workroom list" and "My Tasks". There you can find:
The "New" button that houses familiar actions such as creating a new default Workroom and opening the template chooser. The new addition is a handy "Create a group" action.
Workroom groups: We wanted to give you a way to keep your dashboard orderly. Besides the "Ungrouped Workrooms" and "Finished Workrooms" groups that are created by default if you have any active or finished Workrooms, you have the possibility to create your own groups, move Workrooms via drag-and-drop as well as edit and delete created groups.
My Tasks: We bid goodbye to the old "Task Inbox". Now, a big portion of the dashboard is dedicated to your tasks. There, you have an overview of tasks assigned to you paired up with the most important info such as task name, task assignees, and task list name. The options to filter and sort your tasks are also there if you want to customise the looks of your tasks.
Work administration: A newly-created space where all organisation members with a permission to finish Workrooms can see and manage Workrooms. To find out more, see the topic for managing Workrooms via Work administration.
Switch between organisations: If you can use CELUM Work in multiple Organisations, now you can switch between them directly in CELUM Work. Use the "Work" button in the system bar to see all of your organisations and switch between organisations. The dashboard only shows the WorkroomWorkrooms in the currently chosen Organisation.
Tasks and task lists design update: For the best user experience, we made small, but important changes to the task list and task cards rethinking the empty space, introducing a softer look and adding tooltips on hover.
System bar labels: Last but not least, the user settings menu in the system bar has also gotten a makeover. "My Cloud Account", "Work administration", and "Organisation administration" are the new and improved labels. To see what actions are available via the system bar, see the topic for basic navigation.
We improved the asset handling experience. Want to rename your asset and change its extension? No problem—CELUM Work now handles these tasks faster and error-free. The same holds true for asset version control and CELUM Content import/export. For example, you will find the experience of navigating between multiple asset versions with different asset extensions much smoother as the "Asset details" section now displays full and correct information on the selected asset version.
Assign task list owners in Workroom wizard: Adding to the "invitation in the Workroom wizard" feature, the April release gives you the option to appoint task list owners directly in the Workroom wizard. Find this option in the "Taskboard and robots" section and use it while creating or editing a template or a Workroom. To learn more on assigning task list owners, see the topic for working on the board.
"All task list owners" option for "Assignment" robot: When assigning tasks via the "Assignment" robot, now you can easily select all already appointed task list owners with the new "All task list owners" option in the "Create assignment robot" dialog. See the topic for adapting a new Workroom's template for more information.
Multiple people selection: Now you can select and perform actions such as assigning moderator roles or removing from the Workroom for multiple people on the People page. With the bulk people selection, you can assemble your team more efficiently and swiftly.
New CELUM Robots: You have defined processes in your Workrooms with repeated task actions, which you would like to automate? Then let’s do it! The new CELUM Robots automate repeated actions like setting task assignment when a task is moved or setting due date when a task is created in a list. See the topic for adapting a new Workroom's template for more information.
Updated task list ownership: We updated the behavior of the task list owner. With the new Task List Owner Robots, you can now define task list owners in three ways: 1. Just as visualisation, 2. Only restricting task movement, or 3. Restriction of task movement and editing. See the topic for adapting a new Workroom's template for more information.
Invitation in Workroom wizard: You now have the chance to invite people directly in the Workroom wizard during the creation process of a new Workroom.
Assign tasks to new invited user: Don’t hesitate anymore to assign tasks to newly invited people in your organisation and Workroom. We enabled specific actions for newly invited users like task assignment, task list ownership, tagging in comments, etc.
Security updates: We take security seriously, therefore we needed to update the login process for the CELUM App. Open the app and follow the instructions to get the latest security.
