Share assets and folders via a handy share page

With the share functionality, you can share selected assets for a specific period of time with other people who do not have access to your Workroom or CELUM Work.

When to use the sharing functionality

Sharing assets or folders is the best option for you in certain cases:

• When collaborating with external people and agencies who don't have access to your CELUM Work.

• When you just want to share specific assets or folders with your colleagues, but you don't want to invite them to your Workroom.

Steps to share

1. Go to the asset explorer tab.

2. Open the context menu by right-clicking on single or multiple assets or folders.

   When you select folders to share, that means all assets in the folder will be shared. The folder itself will not appear in any way.

3. Hover over the Share option in the context menu. Choose between sharing via:

• E-mail by clicking the "Via e-mail"option: This way you can send an e-mail to notify recipients you want to share your assets with.

1. The "Share" dialog opens. There you can configure your share (see "Configure the share dialog" section below).

2. Click on the "Share" button in the dialog to save your settings.

3. The sharing will start and a snackbar will appear.

4. Once the assets are ready, you and your recipients will get an e-mail with a link to the landing page.

• Link by clicking the "Get link" option: This creates a direct link to the landing page that contains your shared assets and copies it to the clipboard. The page will be available for 15 days.

1. A snackbar with the share progress appears.

2. To access the landing page yourself, click the "Open" button in the snackbar.

3. The link is immediately copied to clipboard and ready to be shared. To share the link with others, simply paste it. The page will be available for 15 days.

Configure the share in the dialog

Once you click "Via e-mail" in the Share options, a "Share via e-mail dialog" opens where you can configure your share. You can set the following:

1. Recipients: Enter a valid e-mail address and select it in the drop down that appears. Repeat the process to enter other addresses. All recipients will be listed below.

   Click on the "Remove recipient" button next to an e-mail to remove it from the list.

2. Message to recipients: Optionally, write a note to recipients. This text will appear to them in the e-mail.

3. Request confirmation via text dialog: Optionally, you can send a custom text to the recipients that they can confirm in a dialog when they first visit the page.

4. Validity period: States the time period in which the landing page is active. You can select the preferred time period in the drop-down menu.

5. Asset overview: See and manage the list of all assets that will be shared.

On the right side of the "Share via e-mail" dialog, you can see the list of all assets that will be shared. You can remove an asset from the assets list by clicking on the "Remove asset" button.

See and download shared assets

When assets are shared, both the sender and the recipients will get an e-mail with a link to the share page where the recipients can download the assets.

Accessing the share page

1. Click the "Go to shared assets" button in the e-mail.

2. You will be redirected to the landing page.

3. If the sender included a message with a reading confirmation, the message will be shown in a pop-up dialog. Click on "confirm" to close the dialog.

4. You will see the share page with the shared assets.

The share page

On the share page, you will see an overview of assets shared as well as the most important info about the share.

Here you can:

1. Change the language of the page: You can choose between English, German and French. The default language is the same as the language of your browser.

2. See page info: See info about the share including the sender name, number of assets shared, validity date.

3. Filter and search assets: Search for assets and filter results by "Content type" and "Size".

4. Download all asset from the page: Use the "download all" button.

5. View the assets on the page: Here you can see all the assets on the page. Also the results of filtering and search will be displayed here.

Downloading assets

You can download assets from the page in the following ways:

• Download all shared assets using the "Download all" button.

• Download individual assets by clicking on them and selecting a specific variant in the asset detail view.

• Download multiple assets by selecting them and clicking the download icon on the snackbar that appears when you select multiple assets. This opens the variant selection dialog where you can specify which variants of the assets will be downloaded.
