Workroom robot

You can create this robot:

• When adding a collection in the asset explorer.

• When adding a collection to a Workroom in CELUM Content.

• When editing a Workroom in the Workroom wizard.

Create the robot in the workroom wizard

1. Go to the "Taskboard and robots" or "Workflow" section of the Workroom wizard.

2. Under "Workroom robot", click on the robot icon . A sub-menu opens.

3. Click "Watch Collections" in the sub-menu. A "Create new robot" dialog opens:
   

4. Click on the collection chooser icon . In the dialog, select at least one collection that has already been added to CELUM Work and click on "Select".

   If a collection has been added more than once, all its instances in CELUM Work will be listed.  You can select some or all of them to add the new assets.

5. When you are finished with adding collections, click "Create" to finish.

6. A new "Watch collections" robot chip is created. Once new assets are added to selected collections in CELUM Content, the robot will be triggered. To start watching additional collections, either selected already added collections or add a new collection.

   Once at least one added collection is watched, a "Watch collections" robot chip is created. Every additional collection that is watched will be listed in that robot.

See and edit the robot

If you selected the "Add and watch collection" option while adding a collection from CELUM Content, the Workroom robot is automatically created once the collection is added. To see and manage the added collections being watched:

1. Go to the "Taskboard and robots" or "Workflow" section of the Workroom wizard.

2. Under "Workroom robot", click on the robot chip. In the "Edit robot" dialog, you can:

• See all added collections watched. Each collection is represented by a chip.

• Remove added collections from the robot by removing the collection chip.

• Start watching collections by clicking on the collection picker and selecting added collections from the list.

3. Click "Save" to apply the changes.

Delete the robot

To delete the robot, simply click the "Remove" button. The selected collections will no longer be watched.

An added collection is created when a CELUM Content collection is added to a Workroom. Once created, the added collection is independent of the CELUM Content collection.

There are 3 main reasons why the Workroom robot may be disabled:

• Your CELUM Content version may not support it. In this case, you need to update to the latest CELUM Content version.

• You haven't selected a repository for your Workroom. In this case, you can select a repository in the "Workroom details".

• You are creating a template. This robot can only be used in a new or an existing Workroom.

This happens because the folders are not saved in the template. Since both Workroom and automatic task creation robots are created on folders, the robots will not be activated. Instead, an info will appear with options to take.
