This topic will guide you through the steps of creating a Library. A Library can be used as base for CELUM Experience related functions such as Portals.
Before you create your first Library, it is recommended that you read the prerequisite information in Saved filters from CELUM Content.
If the Library owner gets deactivated in the CELUM Cloud account, the Library will remain active, but will no longer be updated. Additionally, the user name on the dashboard will be prefixed with "Deactivated user".
If you create a Library you will automatically become the Library owner for it. This means:
Only you will be able to view and edit the Library, change the states or delete it.
The Library inherits your CELUM Content permissions:
If permissions change or are lost, the content of the Library will adapt to it.
Assets that become unavailable because of these changes will be marked in the asset preview.
This will also change the content of all CELUM features using the Library, for example published Portals.
The CELUM Experience permission is revoked for the Library owner.
In this case, any Library created will remain active, but will not be updated anymore. On the Library dashboard, the avatar of a user with a revoked permission will be shown as disabled.
Go to the CELUM Libraries dashboard.
Click the "New" button to enter the Library wizard.
Define a name for your new Library. This step is mandatory to continue Library creation.
(Optional) Change the repository if your organisation has multiple CELUM Content servers.
The CELUM Content storage is used as the source for assets imported to the Library. You cannot change it after the Library has been created.
Click "Next" to go to the "Assets" section.
The chosen filter determines which assets will be imported to the Library after the Library is created.
The filters are created and saved in CELUM Content. If you don't see any filters in the drop-down, it might be because one of the following reasons:
You have not configured or saved any filters in CELUM Content. Learn how to do so in Save and load searches in the CELUM Content part of the help.
You have not selected the right repository. If your company has more than one repository available, you may need to select a different repository.

To choose a filter for your Library:
Click the "Add a filter" button .
Select a saved filter from the drop-down and check the asset preview.
The asset preview is a preview of assets in the repository that match the criteria of the chosen filter. Two kinds of assets may appear here:
Available assets: Assets that match the filter criteria and for which the Library owner has download permission are clearly shown in the asset preview and will be imported to the Library.
Unavailable assets: Assets
that match the filter criteria but for which the Library owner has no
download permission will be marked as
and will not be imported to the Library.
Click "Next" to go to
the "Metadata" section.
The chosen metadata will be used for categorisation and more efficient search.
The metadata available for selection are based on the following:
The repository you select in the "Library details" tab
The permissions of your user in CELUM Content
The filter chosen in the previous step
Click the "Add metadata" button .
Select metadata fields from the drop-down. The fields are added
to the metadata list. If you don't have the permission for a selected
metadata, a warning sign
will be displayed and that metadata will not be imported to the Library.
To remove a chosen field from the list, click the "x" button in its row.
Click "Next" to go to the "Variants" section.
By defining asset variants, you control the download formats types available for the assets in your Library. Every asset type has its own supported variants. For more information, see Asset variant types.
To add variants to your Library:
Click the "Add variants" button .
Select the required variants from the drop-down. The variants are added to the variant list.
To remove a variant from the list, click the "x" button in its row.
Click "Create".
The new Library will be visible on the dashboard in the "active Libraries" section.
