Robots are either actions that are automatically executed or certain rules that will be checked when various actions on tasks are executed on the taskboard or on folders. For each task list, you can choose and combine robots to fit your needs in the section "Robots" within the "Taskboard and robots" section in the wizard.
Common robot features:
Although different robot types are used to automate a variety of actions, they still have some commonalities when it comes to their behavior:
You can mix and match robot types: You can set and combine robots of the same type on a list or on a folder as well as combine different types of robots. For example, a list can have a CELUM Content robot and due date robot. When a certain combination is not possible, the robot selection will be disabled. If some robots within the selected type cannot be combined with already set robots, the "Create" button in the "Create new robot" dialog will be disabled.
Robot setting changes are only applied to new tasks or newly added assets: This means that all of your previous settings for folders, lists, tasks and their content remain unchanged if they were created or moved BEFORE a robot was set. For example, a due date robot will only change the due date settings for tasks in a list if the tasks were created or moved AFTER the robot was set. All the tasks that were in the list before the change will not be influenced by the due date robot. Similarly, if a robot has been set on a folder, only newly added assets will be influenced.
Robot notifications: When a robot gets applied, you will get a snackbar notification and all Workroom contributors will see that robots are set on the list on the taskboard or on a folder. Should a robot be set but not applied due to some conditions not being fulfilled, a "Robot not applied" warning will be displayed in the robot chip.
You can easily edit and delete robots in your Workroom.
Only robots that have multiple actions defined, such as the CELUM Content robots, can be edited.
To edit a robot,
click on its robot chip.
An "Edit robot"
dialog opens. When you make your changes, the "Save" button
is activated:
To delete a robot,
simply click on the "Delete"
button in the upper right corner of the robot chip.
The robot is
now deleted.
